1. Title: " The Chiltern 1XV Mountain Bike Club " hereafter referred to as " The Club".

2. Aims & Objectives: The club shall pursue and promote all aspects of mountain bike cycling in and around the Chiltern Hills. The club shall be run on a ‘not for profit basis’.

3. Membership: The club shall be open to all mountain bike riders aged 16 and over regardless of ability, disability, sex, race, marital status, age, ethnic background, disabilities, religion or sexual orientation. The club reserves the right to refuse or terminate membership to any individual on its own jurisdiction. A membership fee is required from all members annually and the subscription is due by the end of January. Anyone who has not paid by the final day of February may be deemed by the Management Committee to have left the club. Any new member joining after 1st September shall be exempt from paying twice in a calendar year. The Management Committee shall set the annual fee.

4. Management/Club Officials: The club shall be run by a Management Committee of 3 officers elected at the annual general meeting to serve for one year. These positions shall be the Captain, Secretary and Treasurer. All matters of importance will be organised by the club’s Management Committee. The general rule for decision making shall be consensus but if a vote is deemed necessary a simple majority shall win. A quorum for the committee shall be 3. The Captain shall be responsible for the general organisation of the club. The Secretary shall be responsible for administering enrolment of members and maintaining the records of the club including the membership database plus maintain affiliations to national cycling bodies. The Treasurer shall keep a book of accounts of the financial transaction of the club. The Management Committee may create other volunteer positions, up to a maximum of 5, but these non-executive members cannot vote on the committee. One of these volunteer positions will be the Safety Officer who shall be responsible for ensuring the safety of the club members is not compromised and for the upkeep of the club first aid.

5. Finance: The general running costs of the club shall be financed by the club as a Whole, using subscriptions and other donations. The treasurer will manage all financial matters

6. Safety: All club members shall abide by the club’s safety policy, and each member will familiarise themselves with this policy prior to taking part in any club-associated activity. A risk assessment is attached as an addendum.

7. A.G.M: The Annual General Meeting of the club shall be held in November or December of each year and notice will be given to members at least 2 weeks before hand. A quorum for such a meeting shall consist of 25% of the membership or 15 members at that time. At the AGM the election for the management committee officers shall take place, existing committee members are eligible for re-election. A vote may also be taken on any motion relevant to the club and its activities put forward in writing by a club member. Only members will be entitled to vote. Simple majority voting will apply to all decisions of the AGM and the Management Committee. The committee will give the members an annual report at the AGM and the Treasurer will make a financial report. Emergency AGMs may be called by a majority decision on the Management Committee.

8. Constitution: Alterations to this constitution may only be made at an Annual or Emergency General Meeting of the club is passed by a two-thirds majority of those present.

9. The official address of the club is: The Chiltern 1XV MTB Club, 30 the Willows, Rickmansworth, WD3 8YY, HERTS.
